We are currently looking for an Programs and Events Manager to join our team!
Position Summary
The Programs and Events Manager serves as a key operational support role, working directly under the Executive Director to execute FilCom's diverse community programs and manage day-to-day event operations. This position focuses on program coordination, event logistics, volunteer management, and administrative support while ensuring cultural authenticity and community engagement. The ideal candidate will have strong organizational skills, knowledge of Filipino history and culture, and experience in program implementation and event coordination.
Core Responsibilities
1. Program Design and Management
Program Design:
Together with the Executive Director, design culturally relevant programs that serve diverse demographic groups
Develop comprehensive program plans including timelines, staffing, and resource requirements
Research community needs and interests to identify programming opportunities
Create evaluation frameworks to measure program effectiveness and community impact
Develop and manage individual program budgets within organizational constraints
Align all programs with FilCom's mission, vision, and strategic objectives
Program Implementation:
Execute approved community programs
Coordinate program logistics including venue setup, materials preparation, and participant check-in
Maintain program schedules and ensure timely delivery of all program components
Support participant recruitment efforts through outreach and communication
Collect and organize program feedback and evaluation data
Administrative Program Management:
Maintain program databases and participant records
Prepare program materials and resource packets
Coordinate with contractors and guest facilitators
Track program attendance and participation metrics
Assist with program budget tracking and expense reporting
Track program expenses and prepare financial reports
Prepare detailed program reports for board meetings and stakeholder presentations
Document program outcomes for grant compliance and annual reporting
Use evaluation findings to refine and improve future programming
2. Events Management
Event Execution Management:
Oversee the event booking execution on the day-off the event with proper turnover from the Operations Manager
Ensure caterers strictly adhere to all terms and conditions outlined in catering contracts
Oversee rental equipment management and inventory
Maintain vendor contact database and service records
Day-of-Event Management:
Monitor event setup and breakdown procedures for non-catered event
Coordinate with caterers to ensure contract compliance and quality standards
Ensure proper use, maintenance, and storage of rental equipment
Troubleshoot operational issues during events
3. Marketing and Communications
Content Creation and Digital Marketing Management:
Develop compelling content that highlights FilCom's programs, impact, and cultural significance
Create print materials including brochures, flyers, annual reports, and program guides
Manages website and social media content
Create engaging content that align with program activities and cultural events
Manage email marketing campaigns including newsletters and program announcements
4. Community Engagement
Volunteer Program Management:
Recruit, schedule, and coordinate volunteers for programs and events
Maintain volunteer database and track service hours
Organize volunteer appreciation activities and recognition events
Collect volunteer feedback to improve engagement strategies
Community Outreach Coordination:
Support community engagement initiatives and partnerships
Represent FilCom at assigned community events and meetings
Qualifications and Skills
Qualifications:
Bachelor's degree in Marketing, Communications, Nonprofit Management, or related field
Minimum 3 years of progressive experience in program management
Experience managing social media platforms and digital marketing campaigns
Deep knowledge of and connection to Filipino culture and the Filipino community in Hawaii
Proficiency in a Filipino language (Tagalog, Ilocano, Visayan, etc.) is preferred
Knowledge of the local Filipino American community history and dynamics
Experience with event planning and management
Background in community organizing and cultural programming
Ability to lift up to 40 lbs, stand for extended periods, and work flexible hours including weekends and evenings
Reporting Structure
Reports directly to the Executive Director
Works closely with Operations Manager
